Job Title: Executive Assistant

Job Summary
- The Executive Assistant provides high-level administrative support to [Executive/Subsidaiary} and is responsible for managing schedules, facilitating communication, and coordinating projects. This role requires a proactive, detail-oriented individual with exceptional organizational and interpersonal skills to enhance the executive’s effectiveness and contribute to the overall success of the organization.
Key Responsibilities
Administrative Support:
- Manage executive calendars, schedule appointments, and prioritize meetings.
- Prepare and edit correspondence, reports, presentations, and other documents.
- Handle incoming communications and act as a liaison between the executive and internal/external stakeholders.
Project Coordination:
- Assist in the planning and execution of special projects, ensuring deadlines are met.
- Track project progress and provide regular updates to the executive.
Travel Arrangements:
- Coordinate travel logistics, including flights, accommodations, and itineraries.
- Prepare travel expense reports and manage related budgets.
Meeting Management:
- Organize and prepare agendas for meetings, take minutes, and follow up on action items.
- Ensure all meeting materials are prepared and distributed in advance.
Confidentiality and Discretion:
- Handle sensitive information with the utmost confidentiality and integrity.
Skills and Qualifications
Education:
- Bachelorâs Degree in Business Administration, Management, or a related field preferred.
Experience:
- Minimum of 1 year of experience as an executive assistant
- Proven track record of supporting senior executives.
Technical Skills:
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Familiarity with project management tools and CRM software.
Communication Skills:
- Excellent verbal and written communication skills.
- Strong interpersonal skills with the ability to interact effectively at all levels of the organization.
Organizational Skills:
- Exceptional time management and organizational skills with the ability to prioritize tasks.
- Strong attention to detail and accuracy.
Problem-Solving Skills:
- Ability to anticipate needs and proactively address challenges.
Adaptability:
- Comfortable working in a fast-paced environment and managing multiple tasks simultaneously.
Salary
N120,000 – N150,000 monthly.
