Job Title: Exective Assistant

Location: Lagos

Responsibilities

  • Weekly schedule checks on the properties and staff.
  • Spot checks on Nathan properties
  • Liaising with lawyer and accountant on rent dues and proper accounting..
  • Overseeing proper management of the portfolio.
  • Coordinating of office activities and operations to secure efficiency and compliance to company policies.
  • Organizing and maintaining files and records.
  • Preparing staff Payroll.
  • Overseeing suppliers and vendor bids, tenders and requests.
  • Coordinating repair work at all the properties/office.
  • Acting as the point of contact to the Managing Director.
  • Running of daily expenses for the company.
  • Organizing, maintaining and filing company records system.
  • Acting as office manager by keeping up with office affairs.
  • Collating, filing, reconciling, and liaising with the accountant of office expenditures.
  • Responding to mails and correspondence of the managing director.
  • Petty cash handling and record keeping in line with accounting and office procedures.
  • Undertaking additional specific tasks as directed by managing Director.
  • Making sure all repair work is done properly.
  • Office reporting, processing expenses sheets and invoices.
  • Distributing official information within the staff.
  • General office management.
  • Flexible and adaptable approach to work.
  • Monitoring stationary levels and ordering office supplies.
  • Providing information of internal or external enquirers.
  • Attention to details.
  • Support budgeting and bookkeeping procedures.
  • Creating and updating of records and databases with financial and other data.
  • Ensuring that tenants are responded to promptly and professionally.
  • Passing messages on effectively and efficiently with full contact details made available.
  • Reminder to the lawyers for payment of rent due.
  • Handling sensitive information in a confidential manner.
  • Supervising repairs done in the house.
  • Attending to bank activities for MD.
  • Checking in of luggage at the airport.
  • Liaising with workers on maintenance work e. g Electrical, plumber, swimming pool, cleaning, painter, Ac servicing, generator repair.
  • Monitoring the cleaning and fumigation work of external cleaning company only.
  • Following up on identified routine works.
  • Manage household budget.
  • Collating of invoices and making sure payment are made.
  • Picking up post office mail and payment of annually bill.
  • Payment of pending bills.

Salary
N250,000 – N300,000 Monthly.
