Job Title: Executive Assistant to Founder & CEO

Job Summary
- We are looking for a dynamic and highly organized Executive Assistant to support the Founder & CEO in managing day-to-day operations, client communications, and strategic initiatives.
- We are seeking a medically inclined Executive Assistant who possesses a passion for the health and wellness industry and is committed to supporting our mission.
- This role is integral to ensuring the smooth functioning of the clinic and supporting our growth.
Key Responsibilities
Administrative Support:
- Manage the CEO’s schedule, including client consultations, meetings, speaking engagements, and travel arrangements.
- Handle email correspondence, prioritize inquiries, and filter urgent matters for immediate attention.
- Prepare and organize documents for meetings, client protocols, and presentations.
Staff Relations & Communication:
- Serve as the primary point of contact between the CEO and internal teams, ensuring clear communication across departments.
- Facilitate coordination among staff to ensure smooth clinic operations and successful treatment protocol delivery.
- Schedule and organize internal meetings, distribute agendas, and follow up on action items.
- Act as a liaison to address staff concerns, relaying important information to the CEO and maintain a positive work environment.
- Assist in onboarding new staff members, ensuring smooth integration into clinic operations.
Project & Task Management:
- Assist in executing strategic initiatives and clinic projects, such as wellness packages and marketing campaigns.
- Track project progress, deadlines, and deliverables to ensure timely completion.
- Collaborate with internal teams (nutritionists, dietitians, herbalists) for operational flow and timely client responses.
Operations & Process Improvement:
- Proactively suggest and implement systems to improve workflow, document management, and client service processes.
- Assist with billing and payment tracking, ensuring proper documentation and adherence to financial protocols.
- Help streamline clinic procedures and develop operational manuals or guides as needed.
Special Projects:
- Coordinate special projects, including wellness events, webinars, and workshops.
- Support the preparation of materials and logistics for public speaking engagements and media appearances.
Qualifications
- Degree in a relevant field such as Medical Sciences, Social Sciences, Business Administration, Project Management, or related certifications.
- Proven experience as an Executive Assistant for 3-4 years in a structured firm supporting busy executives.
- Medical background or strong familiarity with the health and wellness industry is highly preferred to align with the clinic’s holistic focus.
- Strong organizational skills, attention to detail, and ability to manage multiple tasks with precision.
- Excellent written and verbal communication skills.
- Proficiency in office software (e.g., Microsoft Office, Slack, Google Suite) and familiarity with project management tools (e.g., Asana, Trello).
- Tech-savvy with the ability to quickly adapt to new tools and software.
- Business acumen with a strong understanding of operational processes.
- Knowledge of or passion for holistic health, naturopathy, or wellness is a plus.
- Social media management skills are an advantage.
- High level of discretion and confidentiality in handling sensitive information.

Salary
N350,000 – N400,000 monthly.
