Job Title: Front Desk Representative (Female)

Location: Wuse 2, Abuja (FCT)
Reports To: Office Manager/Operations Manager
Department: Customer Relations/Administrative Support
Level: Entry Level

Job Overview

  • The Front Desk Representative will be the first point of contact for visitors, clients, and partners at the real estate office in Wuse 2, Abuja.
  • This role requires a professional and welcoming individual capable of managing administrative tasks, providing information about the company’s real estate services, and ensuring smooth office operations.
  • As a representative of the company, the Front Desk Officer will handle both face-to-face interactions and communications via phone and email, offering excellent customer service in line with the company’s standards.

Core Responsibilities
Reception and Client Interaction:

  • Welcome clients and visitors, ensuring a friendly and professional first impression of the company.
  • Provide accurate information regarding available properties, company services, and general inquiries.
  • Manage the reception area, keeping it clean, organized, and well-stocked with company brochures and promotional materials.

Call and Email Handling:

  • Answer incoming calls and respond to inquiries about real estate listings and services, forwarding them to the appropriate departments or representatives.
  • Respond promptly to emails, assisting with client queries and booking appointments for property viewings or consultations.
  • Record and log calls, messages, and client interactions using the office’s communication tracking system.

Appointment Scheduling and Coordination:

  • Schedule property viewings, client meetings, and follow-ups for the real estate team.
  • Coordinate and manage the booking of conference rooms for meetings with clients, real estate agents, or external partners.
  • Assist in maintaining calendars for property agents and senior management to avoid conflicts in scheduling.

Customer Service and Client Support:

  • Assist potential buyers, renters, and real estate investors by providing information about the real estate market in Wuse 2 and other locations in Abuja.
  • Ensure clients receive exceptional service by addressing any concerns or complaints and escalating them to the appropriate team members when necessary.
  • Follow up with clients after appointments to gather feedback and assist with additional needs.

Administrative Support:

  • Perform general office duties, including filing, data entry, and maintaining accurate client and property records.
  • Monitor office supplies inventory and liaise with suppliers to ensure stock levels are maintained.
  • Assist with the preparation of real estate documents, such as property agreements, brochures, and contracts.

Visitor Management:

  • Maintain a visitor log and issue visitor passes to maintain security within the office.
  • Inform the relevant team members of the arrival of scheduled visitors or clients.
  • Escort visitors to appropriate personnel or meeting areas, ensuring a smooth transition through the office.

Property Marketing Support:

  • Assist in distributing promotional materials for properties such as brochures, flyers, and real estate catalogs.
  • Update the display area with new listings, including details and images of properties for sale or rent.
  • Support the marketing team in organizing events, open houses, and real estate exhibitions.

Key Relationships:

  • Internal: Real Estate Agents, Property Managers, Marketing Team, Operations Manager, Administrative Support Team
  • External: Clients, Visitors, Vendors, Service Providers, Potential Buyers and Tenants

Requirements
Education:

  • A Bachelor’s Degree in Business Administration, Public Relations, or a related field is preferred.
  • Training in customer service, office administration, or real estate operations is an added advantage.

Knowledge:

  • Familiarity with the real estate industry, particularly in Abuja, with knowledge of property listings in Wuse 2.
  • Proficient in the use of office equipment, including telephones, computers, and office software (Microsoft Office Suite, email clients, etc.).

Experience:

  • 1-2 years of experience as a Front Desk Officer or similar role in the real estate sector.
  • Experience with customer service, call handling, and office administration in a fast-paced environment.
  • Proven ability to handle multiple tasks, including scheduling, client management, and administrative support.

Skills:

  • Strong verbal and written communication skills, with the ability to interact professionally with clients and colleagues.
  • Excellent organizational skills with attention to detail and the ability to prioritize tasks.
  • Problem-solving abilities and a customer-oriented approach to handling inquiries and complaints.
  • Proficient in basic computer skills (Google Docs, Word, Excel, email).

  • Ability to work under pressure while maintaining a calm and professional attitude.

  • Willingness to work flexible hours, including occasional weekends, depending on client needs or company events.
  • Basic understanding of Abuja’s property market, particularly in Wuse 2, will be an added advantage.

Salary
N80,000 – N120,000 / month.
